South Forrest want to be open and clear about the use of information you provide us.  Please be assured that we are committed to protecting and respecting your privacy. For the purposes of Data Protection legislation, South Forrest is a Data Controller, so we are required to provide you with this information.

Online Quotation and other “Pre-contract” Information

If you choose to use our online quotation service we will collect the information that you provide when you fill in the online quotation form. 

We will use this information for the purpose of providing you with a quote as requested. The legal basis for collection of this information is our legitimate interests. We will not be able to provide you with an online quotation without this information.

If you choose to enquire about our services by other means we will collect the initial information required to determine if we are able to assist.  We will only use that information to confirm whether we are able to assist and to provide a quote or estimate for our services if appropriate.

If you decide to proceed with the work or services we will provide you with Terms of Business and a detailed statement of the information we will require from you and its use and retention at the point you instruct us to carry out the work or services.  The information that you have provided us already will be used and stored in accordance with that detailed statement.

Otherwise (and subject to your rights as set out in paragraph 6), we will retain the initial information you have provided us with for the period of 1 year and it will then be deleted.

Access to Brochures, and Arranging Viewings

If you choose to download a property or other brochure from this website we may require to collect information about your IP address so as to allow the efficient operation of the download.  The information will not be used for any purpose other than the provision of the download to you.

If you contact our Property Department to arrange a viewing of one of the properties advertised then we will take information from you including your name, address and contact details so as to facilitate the viewing.  We may also use the information to contact you following on the viewing to ask for feedback from you about the viewing and for your intentions.  Subject to your rights in paragraph 6, we will retain this information whilst we are involved in the marketing of the property and then delete it.

The legal bases for collection of this information are our (and our clients’) legitimate interests. We may not be able to provide you with online access to Brochures or to arrange a viewing for you without this information.

If you wish, we will also retain the contact details you have given our Property Department to allow us to advise you of other similar properties we are marketing.  It is your choice whether we retain your contact information for this purpose and we will only do so if you authorise us to.  The legal basis for this will be your consent.

If you so consent then, subject to your rights in paragraph 6, the information will be retained for a period of 6 months and then deleted.

Social Media

If you choose to subscribe to our Facebook account, we will hold your social media information in the course of operating that account. Our lawful basis for this is that it is necessary in order to pursue our legitimate interest in maintaining a visible, engaging and relevant social media presence.

Your rights

Under the law you have certain rights in respect of the processing of information, which may vary dependent on the legal basis for collection of the information and the uses made of the information.

For all uses made of this information you have the right to be informed about how it is used, and this notice discharges that obligation. However, further rights may apply in different circumstances, as set out below:

  • Right of access- you have a right to access a copy of the personal information that is held about you (subject to Data Protection Laws)
  • Right of rectification- you have a right to correct personal information that is held about you if it is inaccurate or incomplete
  • Right to be forgotten- in certain circumstances you can ask for the personal information held about you to be erased
  • Right to restrict processing- where certain conditions apply you have a right to restrict processing
  • Right to data portability- where applicable we will provide copies of personal information in a structured commonly used, and machine readable form
  • Right to object- you have the right to object to certain types of processing, such as marketing
  • Right to withdraw consent- Should your consent to processing be required (such as the retention of your details for the marketing of other properties provided for in paragraph 3), you have the right to withdraw your consent for that specific processing at any time
